Privacy Policy
Last updated: 23 June 2026
This Privacy Policy explains how Chronosphere Festival ("we", "us", "our") collects and uses your personal data when you register your interest on this website, and the rights you have under the EU General Data Protection Regulation (GDPR) and Portuguese data protection law. We collect only what we need, and we are transparent about every tool we use.
1. Who is responsible for your data
The data controller is João Camilo & Joana Ribeiro Lda (NIF 519189574), Mestras 7, Mestras, 3330-018 Góis, Coimbra, Portugal. For any privacy question or to exercise your rights, contact us at info@chronospherefestival.com.
2. The data we collect
Information you give us when you register:
- Your name
- Your email address
- Your phone number (for SMS and WhatsApp updates)
- Your communication preferences – whether you consent to receiving event updates by email, SMS and/or WhatsApp
Information collected automatically when you visit:
- Your IP address and approximate (country/region) location
- Device and browser information (user-agent)
- Pages viewed and interactions, via cookies and similar technologies (see section 5)
3. How and why we use your data (legal bases)
- To register your interest and contact you about the festival – performance of a request you made and our legitimate interest in managing registrations (GDPR Art. 6(1)(b) and (f)).
- To send you event updates by email, SMS or WhatsApp – only on the basis of your consent for each channel (GDPR Art. 6(1)(a)). You can withdraw any consent at any time.
- To measure and improve the website, and to run and measure advertising – analytics and marketing cookies/pixels are used only with your consent (GDPR Art. 6(1)(a), read with the ePrivacy rules).
4. The tools and partners we use
We share the minimum necessary data with the following processors and service providers, each acting under a data processing agreement. Some are based in the United States; where data leaves the EU/EEA it is protected by appropriate safeguards (see section 6).
- evnt.ad – our registration platform. Receives your name, email, phone and consent in order to record your registration.
- Klaviyo (Klaviyo, Inc., USA) – email and SMS delivery. Stores your contact details and consent to send the event updates you opted into.
- Meta Platforms, Inc. (USA) – the Meta (Facebook) Pixel and Conversions API for advertising and conversion measurement, and WhatsApp for event updates where you consented. Meta may receive a hashed (pseudonymised) version of your email/phone and technical identifiers.
- Google Analytics 4 (Google Ireland Ltd / Google LLC, USA) – website analytics to understand how the site is used.
- MapTiler (MapTiler AG, Switzerland) – displays the interactive festival location map.
- WeeZTix – our ticketing partner. When you buy a ticket through the checkout on this site, WeeZTix processes your payment and order data under its own privacy policy and terms.
- Vercel (Vercel, Inc., USA) – website hosting and infrastructure (processes server logs, including IP address).
We never sell your personal data.
5. Cookies and tracking technologies
Strictly necessary cookies keep the site working and remember your cookie choices. Google Analytics is only loaded if you accept analytics cookies through our cookie banner or on the Cookie Policy page. The Meta Pixel loads when you visit the site to measure advertising performance and conversions, including before you make a cookie choice. You can change or withdraw optional cookie preferences at any time on the Cookie Policy page. Marketing messages can be stopped using the unsubscribe link in any email or by replying STOP to an SMS.
6. International data transfers
Some of our providers process data in the United States. Where this happens, transfers are made under the European Commission's Standard Contractual Clauses and/or the EU–US Data Privacy Framework, together with additional safeguards as required.
7. How long we keep your data
How long we keep information depends on what it is:
- Registration details (your name, email, phone number and communication preferences) – kept while you remain subscribed to hear from us about Chronosphere Festival, and in any case for no longer than 24 months after your last interaction with us (for example your last email open, registration update or reply). After that, or sooner if you ask us to delete your data or withdraw consent, we remove or anonymise it.
- Analytics and advertising data (Google Analytics, Meta Pixel) – retained according to each provider's settings, typically for shorter periods and only where you have consented to those cookies/technologies.
- Server logs (IP address, browser type – processed by our host, Vercel) – kept for a limited period for security and troubleshooting, then deleted automatically.
8. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased ("right to be forgotten");
- restrict or object to our processing;
- data portability;
- withdraw consent at any time, without affecting prior lawful processing.
To exercise any of these, email info@chronospherefestival.com. You also have the right to complain to the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD), at www.cnpd.pt.
9. Security
We use appropriate technical and organisational measures to protect your data, including encryption in transit and pseudonymisation of identifiers shared for advertising measurement.
10. Children
This website and registration are intended for people aged 16 and over. We do not knowingly collect data from children below this age.
11. Changes to this policy
We may update this policy from time to time. The "last updated" date above reflects the latest version, and material changes will be communicated where appropriate.
